The Pictou West Food Bank is committed to protecting the privacy, dignity, and confidentiality of all clients, volunteers, donors, and community partners.
The organization will ensure that:

Personal information is collected only when necessary to provide services or meet reporting requirements.

how it will be used, and

how it will be stored and protected.

Client data is primarily collected and managed through Link2Feed, a secure client intake and reporting system used by food banks acro Canada. The Pictou West Food Bank retains records only as long as necessary to fulfill operational, reporting, or legal requirements. When records a no longer required, physical documents will be securely shredded and digital records securely deleted.

The organization will only collect the minimum information necessary to:

register clients

provide food assistance

track usage for reporting and funding requirements.
Personal information will never be shared outside the organization unless:

required by law,

required for reporting to Food Banks Canada or Feed Nova Scotia through approved systems such as Link2Feed, or
-
consent has been provided by the client.
Personal information will be protected from unauthorized access, disclosure, or misuse.
Paper records containing personal information will be stored in secure locked locations.
Volunteers and staff will only access personal information when required to perform their duties.
All individuals working with the food bank must respect client confidentiality and handle information responsibly and ethically.
